What types of events can be held at Hidden Meadow Events?
Hidden Meadow Events hosts a wide variety of events including weddings, receptions, corporate retreats, family reunions, birthday parties, anniversary celebrations, holiday gatherings, and more. Our versatile venues can be tailored to accommodate many different types of events.
How far in advance should I book my event?
For weddings, we recommend booking 9-18 months in advance, especially for peak season dates (April-June and September-November). For other events, 3-6 months is typically sufficient, though popular dates may book further in advance. We do occasionally have last-minute availability, so don't hesitate to inquire about your preferred date even if it's on shorter notice.
What is the capacity of your venues?
Our venue capacities vary: the Lakeside Island can accommodate up to 150 guests, the Hidden Woods venue up to 200 guests, and the Rustic Barn up to 200 guests. These capacities may vary depending on your specific setup needs and whether you're planning a seated or standing event.
Is Hidden Meadow Events accessible for guests with mobility concerns?
The Rustic Barn venue is fully accessible with ramps and accessible restrooms. The Lakeside Island and Hidden Woods venues have varying levels of accessibility depending on weather conditions. We offer golf cart transportation for guests with mobility concerns at these venues. Please discuss your specific accessibility needs during your tour so we can ensure all your guests will be comfortable.
What is your cancellation policy?
Deposits are non-refundable. Cancellations made more than 90 days before the event date will not incur additional charges beyond the deposit. Cancellations within 90 days of the event date are responsible for the full payment. We do offer the option to reschedule for a future date subject to availability, with potential change fees depending on circumstances.
What's the difference between your three venues?
Each venue offers a unique setting: the Lakeside Island is surrounded by water with an open-air pavilion; the Hidden Woods offers a natural forest setting with towering trees creating a natural cathedral; and the Rustic Barn provides a climate-controlled indoor space with rustic charm. Each venue has its own character, amenities, and capacity. We recommend scheduling a tour to see which one best matches your vision.
Are your venues weather-proof?
The Rustic Barn is fully enclosed and climate-controlled, making it suitable for events in any weather. The Lakeside Island and Hidden Woods venues have covered areas but are more weather-dependent. We always recommend having a backup plan for outdoor events, and we're happy to discuss weather contingency options during your planning process.
Can I rent multiple venues for my event?
Yes, you can rent multiple venues for your event. Some couples choose to have their ceremony at one venue (like the Lakeside Island) and their reception at another (like the Rustic Barn). Multi-venue rentals are subject to availability and special pricing. Please inquire for more details on this option.
Are there accommodations on-site or nearby?
We don't offer overnight accommodations on-site, but there are several hotels within a 15-20 minute drive. We maintain partnerships with local hotels and can provide recommendations and potential group rates for your guests. For wedding parties, we do have bridal and groom suites available for day-of preparation.
Is there ample parking available?
Yes, all our venues have dedicated parking areas that can accommodate your guests. For larger events, we provide parking attendants to help direct traffic and ensure a smooth arrival experience. Accessible parking spots are available at all locations.
What's included in your wedding packages?
Our wedding packages typically include venue rental for a specified time period, basic setup and cleanup, bridal suite and groom's room access (venue dependent), parking attendants, on-site staff, and standard tables and chairs. Higher-tier packages include additional amenities such as extended hours, lighting packages, and day-of coordination services. For a detailed breakdown of each package, please visit our pricing page.
Can we bring our own vendors?
Yes, we allow outside vendors for most services. We do provide a preferred vendor list with professionals we've worked with successfully in the past, but you're welcome to choose your own vendors for most services. The only exception is alcohol service, which must be provided by our licensed bartenders for liability reasons.
Do you offer catering services?
We don't provide in-house catering, but we work with several excellent catering partners and can make recommendations based on your taste and budget. You're welcome to bring in your own caterer, provided they are properly licensed and insured. Our Rustic Barn venue includes a catering prep kitchen, while our outdoor venues have designated areas for caterers to set up.
Can we have alcohol at our wedding?
Yes, alcohol service is available at all our venues. For liability reasons, all alcohol must be served by our licensed bartenders. We offer several bar package options, from beer and wine only to full open bar service. You can provide your own alcohol (subject to our guidelines) with a corkage fee, or purchase packages through us. Either way, our professional bartenders will handle the service.
Can we schedule a rehearsal before our wedding day?
Yes, we offer rehearsal time options for our couples. Weekend packages typically include a one-hour rehearsal the day before your wedding. For other packages, rehearsal time can be added for an additional fee, subject to venue availability. We recommend scheduling your rehearsal time as early as possible, especially during peak season.
Can you accommodate corporate events with technology needs?
Yes, we can accommodate corporate events with various technology needs. Our Rustic Barn venue has built-in audiovisual capabilities, including projection systems and sound equipment. All venues have WiFi access. For more specialized technology needs, we can connect you with our technology partners who can provide additional equipment and support.
What types of activities can we plan for a family reunion?
Our venues offer plenty of space for various family reunion activities. Depending on your chosen venue, options include outdoor games like volleyball, horseshoes, or cornhole; fishing access at the Lakeside venue; nature walks around the property; photo scavenger hunts; and of course, comfortable spaces for meals and socializing. We can also recommend local activities and attractions for your group to enjoy during their visit.
Are there minimum or maximum guest requirements for events?
We don't have minimum guest requirements for events. Our venues can accommodate intimate gatherings of 20-30 people as well as larger events up to 200 guests. The maximum capacity varies by venue: Lakeside Island can accommodate up to 150 guests, while both Hidden Woods and the Rustic Barn can host up to 200 guests. These capacities may vary based on your specific setup needs.
Can you help with decorations for special events?
While we don't provide full-service decorating, we do offer some decor items for rent, such as lanterns, fairy lights, and basic table decor. For more elaborate decorating needs, we can recommend experienced decorators and event designers from our preferred vendor list who can transform our spaces to match your vision. We provide reasonable access time for you or your vendors to set up decorations before your event.
Do you have heating and cooling options for outdoor venues?
For our outdoor venues, we offer rental options for heating in cooler weather (propane heaters) and cooling in warmer weather (fans, misting systems). The Rustic Barn is fully climate-controlled year-round. We're happy to discuss climate control options during your planning process to ensure guest comfort regardless of the season.
Do you provide event planning services?
We provide varying levels of planning assistance depending on your package. All events receive basic coordination regarding venue logistics and timeline. Some packages include day-of coordination services. For full-service planning, we can recommend excellent planners from our preferred vendor list who know our venues well and can provide comprehensive planning services.
How much is the deposit and when is it due?
A 50% deposit is required to secure your date, with the remaining balance due 30 days before your event. The deposit is non-refundable but may be transferable to another date subject to availability and potential change fees. We do offer payment plans for those who would prefer to spread out payments between booking and the event date.
Are there any noise restrictions or curfews?
Our venues have varying noise policies based on their location. The Rustic Barn, being fully enclosed, has the least restrictions. For outdoor venues, we generally ask that amplified music be turned down by 10:00 PM and end by 11:00 PM out of respect for neighbors. Events themselves can continue until the end of your rental period, which is typically midnight for evening events.
What happens if it rains on my event day?
We always have rain contingency plans for outdoor events. The Lakeside Island venue has a covered pavilion, and the Hidden Woods venue can be tented. Alternatively, we may be able to relocate your event to the Rustic Barn if it's available. We recommend discussing weather backup plans during your planning process so everyone is prepared. Final weather decisions are typically made 24-48 hours before the event in consultation with you.
How early can we access the venue on our event day?
Access times vary based on your package and venue. Typically, for evening events, access begins at 10:00 AM for setup and preparation. Weekend packages often include more generous access times. Additional hours can be added for an hourly fee, subject to availability. We'll confirm your specific access times during the planning process and include them in your contract.
